Basic Purpose Of Job:

This position directly reports to the City Manager and plays a crucial role in supporting the activities of the Programs Division. As a Data Support Officer, the incumbent holds diverse responsibilities and collaborates with personnel across all tiers of the city administration. Their primary duties encompass providing fundamental program management, administrative, and financial assistance to the City Manager. This involves closely coordinating with internal and external cross-functional Departmental Heads, governmental entities, and other organizational stakeholders, ensuring seamless operations. Proficiency in crafting compelling PowerPoint presentations and adeptness in data management using Excel and ERP systems are essential skills requisite for this role.

Duties and Responsibilities:

  • Reporting to senior management and performing secretarial and administrative duties.
  • Collecting data from concerned authorities and health facilities (public and private sector).
  • Typing, formatting, and editing reports, documents, and presentations.
  • Entering data, maintaining databases, and keeping records.
  • Liaising with internal and external departments, including data collection and visits to health facilities in the intervention area.
  • Managing internal and external correspondence on behalf of the supervisor.
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Scheduling meetings.
  • Recording minutes of meetings and following up on action items.
  • Maintaining program documentation.

Performing any other tasks assigned by the Supervisor.

  • Proficiency with Microsoft Office.
  • Proficient in computer skills with excellent interpersonal and time management abilitiess
  • Prior experience in administration, Family Planning, and/or MNCH programs would be advantageous.

Job Specification:

Education: Intermediate/Bachelor’s Degree (preferably Bachelor’s);

Experience (Min-Max): 2+ years.

Knowledge: MS – Office (with emphasis on Word, and PowerPoint)
